INSTRUCTIONS ON HOW TO ORDER FLEET VEHICLES

The Purchasing Division has awarded the
fleet vehicle bid to the
following
authorized
dealers.
This allows
agencies to choose which makes of vehicles best suit their needs and budget. Dealers not listed are
not authorized to sell vehicles. You may contact the dealer directly on any
vehicle you are interested in to get additional information and costs of options
not listed. Options not listed may be
requested. Please have the dealer fax you a written price quote for options and
submit this along with your vehicle order.
STATE AGENCIES
Multiple vehicles may be ordered on one requisition. The purchase order
issued is the actual notification of order to the authorized dealer.
Receivers should also be posted for payment to the dealer as soon as vehicle is
received, even
partial receipts of multiple vehicle orders for process of payment.
After your order is placed, you may follow up on your order
delivery date with the dealer by calling the contact name and phone number
listed for the authorized dealer. Once a purchase order is placed, you must contact State Purchasing
to initiate changes. Do not contact the dealer. Procedures for purchasing
vehicles are outlined in SAM 1308.0.
POLITICAL SUBDIVISIONS (INCLUDING THE UNIVERSITY AND COMMUNITY COLLEGE SYSTEM OF
NEVADA)
Please order your vehicles directly from the vendor
(s) you have selected. State Purchasing will not assess an administrative
charge. It is important to site "State Purchasing Fleet Vehicle Bid" on any purchase order that you submit to a vendor. Use your agency procedures for internally submitting and processing requisitions
and purchase orders. Upon receipt of a vehicle, you will be invoiced directly by
the vendor for payment.
After your order is placed, you may follow up on your order delivery date with
the dealer by calling the contact name and phone number listed. It is
recommended that you establish a procedure to initiate changes if the need
arises once a purchase order is placed with a vendor.
INFORMATION FOR ALL VEHICLE ORDERS
A
vehicle order
form is provided for your use.
State agencies are encouraged to include one for each vehicle type ordered with
your requisition to assist us in verifying that your order is correct. Political
subdivisions are encouraged to use one internally as well.
Each vehicle ordered must have the $28.25 vehicle title fee
as a separate listed line item.
Requisitions from state agencies sent to Purchasing or
purchase orders sent by political subdivisions to vendors require the following
information:
Dealer name and address, delivery location, vehicle reference number, Make,
model name/number, cost, color choice, any options requested and their price,
and the total cost of the vehicle, including options.

ORDER CUT OFF
Historically the vehicle cutoff date is late March for all fleet ordered
vehicles. Once the manufacturers announce their cutoff dates for a particular
vehicle they stop manufacturing them. Make sure to watch our internet site for
vehicle deadlines to ensure that you have your order in on time. The purchase
order must be typed before the cutoff date, so be sure to allow extra time for
processing.

Complete the vehicle order information form and send it with your
requisition to Purchasing if you are a state agency. If you are a political
subdivision, you may use the form to assist you in completing your purchase
order which should then be placed with the authorized dealer of your choice.

Please complete the entire form to insure that your order will be correct.
If you are interested in options not listed, contact the dealer directly and request
a written quote be faxed to you.
